Challenge

The marketing team from gro-up receives a lot of content creation requests by email and other ways from all parts of the organisation. It’s not structured, no clear follow up and bad internal communication. In order to structure this process they needed a system that would help them to structure the incoming requests and set up a process for the different specializations (teams) to be able to follow up and inform colleagues about a request status.

Solution

To solve the issue of unstructured content creation requests and poor internal communication, gro-up’s marketing team now requires all requests to be submitted via monday. This system centralizes and organizes requests, ensuring clear follow-ups and efficient communication, thereby saving time and improving workflow. So no more emails. If it’s not in monday, it doesn’t exist and that means they save a lot of time.

Result

The marketing team from gro-up is managing all incoming content request by making use of a WorkForm. By using the conditional formatting they made sure that colleagues would always provide all information that was needed for the marketing department to get started. On top of of this, they could even include questions needed for specialists in a later stage to ensure that a content request was 100% clear for anyone that needed to work on this.

Based on the information in the conditional form, the request is added to the project boards from the different departments and was automatically assigned to the correct project owner.

Having a high level project board offers all the project managers a great overview of the running requests and the current status and they can create tasks for the specialists that are needed with the simple click of a button.

When there is a new request for a specialist, this request automatically is generated in the team boards for the specialists where they have their own follow up process. They can update the status of a request that is visible to the projectmanager in the projectsboard. Quick, fast and an easy overview
